Not having clearly defined task in projects is the reason many are not completed or seem overwhelmed

Can this be applied in note-keeping for a service-based or freelancing type business? For example, would I have a top-level PARA with all my clients under that somewhere? Or would each client be separate notes containing their own PARA? As a web developer, sometimes a client has multiple websites, and so I work for the website itself, even if it's the same client paying me. So maybe it is each website that gets its own PARA structure and not just the client, or the very top level? Perhaps every level has a PARA? But this is where things get tricky for organizing. If I get to work, I need to know all my priorities for the day, which would be Projects, but these projects could span many clients and many websites. But if each client and/or each website has its own PARA structure, how does the master Projects list get created? If I have top-level Projects, and Projects under each client, and Projects at each website, this could make organizing them all together a bit difficult. I also have retainers and monthly chores, so this sounds like an Area. But it's also actionable and completable because it's monthly. For example, every month has repetitive tasks done every month, which can be completed. So are they projects which are completed, or Areas which are "ongoing" each month, repeating the same things? I need history of all the work done each month whether it was repeating tasks, or one-off tasks that took place. I'm trying to think: - Client Name - Website 1 - PARA - Website 2 - PARA OR - Client Name - PARA - All websites and retainers notes under here in places. OR - Client 1 - PARA - (AREA 1) Specific Website as a whole is an ongoing Area of concern - PARA - This website which is an Area, also can be organized as a PARA? - (PROJECT) Specific project for Website 2 OR PARA - Client - PARA - Website - PARA I guess the question is, can you embed a PARA structure within a PARA structure? And if I have three layers of Projects, how do I organize priorities and review them all properly? I like the idea of single websites having their own PARA because it makes sense. Over years, that website can have all sorts of projects, ongoing tasks, maintenance and retainer notes, field notes, how-tos, documentation, assets, research, experiments, accounting notes, reports and everything else. On top of that, multiple websites can belong to the same client or even move between clients such as a merger or sale or takeover, so it's nice that the one website with all its notes and data can move around as a single unit. At the same time, I can have general projects for a client that span across all their websites. For example, a client may need a hosting migration, which means all their sites are moving around. It's a project but not specific to one site. So it kind of makes sense that we have a PARA at the client level too. But if I have a PARA at the client level, where does each website fit? As a Project or as an Area? I also have to think about data sharing, whether with employees or other freelancers, or with the client themselves. I may want to give access to something like monthly notes and reports, but not access to the entire PARA structure. I need a way to have a place that can be shared just for them. Employees and freelancers may need access to assets and notes but not my notes and accounting regarding the freelancer themselves or other sensitive client information, legal or accounting data. Maybe I'm overthinking it.

I started creating videos for my film business that relate to storytelling and I'm experiencing a lot of what you mentioned that happens in the beginning: Knowing of information, but finding the gaps in the knowledge when I created the scripts. This video was helpful.
